How this is calculated

The calculator multiplies four numbers you enter. It does not use any figure of ours.

  • Missed appointments per month = booked appointments per day × no-show share × working days.
  • Cost per month = missed appointments per month × average fee per visit.
  • Cost per working day = booked appointments per day × no-show share × average fee.
  • Cost per year = cost per month × 12.
  • What-if line (optional) = cost per month × the share you type. That share is your own assumption.

It treats every missed appointment as a lost fee. Some patients rebook, and fees are before tax and costs, so the real loss may be lower.

Questions about this calculator

How do I calculate what no-shows cost my clinic?

Multiply the appointments you book per working day by your no-show share, the average fee per visit and the working days in a month. The calculator on this page does that and also shows the cost per day and per year.

What is a normal no-show rate?

We do not publish a benchmark, because rates differ by specialty, city and how appointments are booked. Count the patients who did not arrive in your own appointment book over a few months and use that share.

Does this count patients who rebook?

No. It treats every missed appointment as a lost fee. If many of your patients rebook, enter the share who do not rebook, or read the result as an upper limit.

Do you store or send the numbers I type?

No. What you type stays in your browser and is not sent to Klintro. The "Copy link" button puts your numbers in the web address so you can come back to them or share them, so share that link only with people you want to see your figures. We use no cookies and no analytics on this page.

How do clinics reduce missed appointments?

Common steps are a reminder before the visit, easy rescheduling and a waiting list. Klintro can send reminders on WhatsApp once you connect your own WhatsApp Business account. Whether that changes your own no-show share is something you would measure in your clinic.
