How much would clinic software need to recover to pay for itself?

Enter a monthly cost and what one unit is worth to you. We divide. No improvement is assumed, so there is nothing to argue with.

The cost to cover

Your own figure. Paid prices are shared on request, so this is not a Klintro price.

Assumptions

  • This page assumes no improvement at all. It only divides your monthly cost by what one unit is worth to you.
  • Each line is a separate way to cover the cost, not a plan to add together.
  • Whether you can recover, save or bill that much is for you to judge. Klintro does not say you will.
  • Values are before tax and before other costs.

How this is calculated

This page makes no assumption about what software will do. It divides your monthly cost by what one unit is worth to you.

  • Appointments = software cost ÷ average fee, rounded up. As a share of your appointments = that number ÷ visits per month.
  • Patients to recall = appointments needed ÷ the share you believe return (optional).
  • Front-desk hours = software cost ÷ staff cost per hour, rounded up. Minutes per patient = hours × 60 ÷ visits per month.
  • Invoices = software cost ÷ average invoice value, rounded up.
  • New patients per month = software cost × 12 ÷ first-year value of a new patient, rounded up.

Each result is a separate way to cover the cost, not a plan to add together. Whether you can reach it is for you to judge.

Questions about this calculator

What does break-even mean for clinic software?

It is the point where what you gain equals what you pay. For one month it is the cost divided by what one unit is worth, for example the cost divided by your average fee gives the appointments you would need to recover.

How is this different from the ROI calculator?

This page takes no assumptions about improvement. It only works backwards from a cost. The ROI worksheet adds your own assumptions and shows a conditional what-if figure.

Should I include setup and training in the cost?

If you want a fuller picture, yes: spread any one-time cost over the months you plan to use the software and add it to the monthly figure.

Which line should I look at?

The one closest to how your clinic would use the software. A clinic that loses many appointments may look at the first line; a clinic with a busy front desk may look at hours. They are not meant to be added.

Do you store the numbers I enter?

No. What you type stays in your browser and is not sent to Klintro. The "Copy link" button puts your numbers in the web address so you can come back to them or share them, so share that link only with people you want to see your figures. We use no cookies and no analytics on this page.
