A clinic software ROI worksheet that uses your numbers

See what clinic software would need to do to cover its cost, then try your own assumptions. Every improvement figure is yours; we supply none.

Your clinic

Fills the boxes with sample values so you can see how it works. Replace them with yours.

Missed appointments

From your own records. Used only to check your recovery figure.

Front-desk time

Billing

If an invoice is under-billed, put the shortfall as the invoice value below.

Recalls

New patients

Software cost

Your own figure. Paid prices are shared on request, so this is not a Klintro price.

To cover your software cost

₹0

per month. The break-even figures are below. Add your own assumptions to see a what-if figure.

Fill in the parts that apply to your clinic. Leave the rest blank. Nothing is counted until you enter it.

Assumptions

  • Blank fields count as zero. A line with no figure adds nothing.
  • Every figure marked your assumption is yours. Klintro does not supply a result, a benchmark or a typical value.
  • Front-desk time is valued at your staff cost per hour; it only becomes money if the saved time is used or the cost is actually reduced.
  • New patients are counted for one month's intake, each at first-year value spread over 12 months; later months would add more.
  • Values are before tax and before other costs.

How this is calculated

You enter your clinic's volume, the cost you have in mind, and, for each area you want to test, your own assumption. A blank assumption counts as zero.

  • Visits per month = doctors × consultation days × patients per doctor per day.
  • Break-even appointments = software cost ÷ average fee, rounded up. Break-even hours = software cost ÷ staff cost per hour. Break-even invoices = software cost ÷ average invoice value.
  • Recovered appointments = appointments you believe you could recover × average fee.
  • Front-desk time = visits per month × minutes saved ÷ 60 × staff cost per hour.
  • Invoices captured = invoices × average invoice value.
  • Recalled patients = lapsed patients × the share you believe return × average fee (one visit each).
  • New patients = new patients per month × first-year value ÷ 12 (one month's intake, spread over their first year).
  • After cost = the sum of those lines − your software cost. Per year = × 12.

The "if your assumptions hold" figures are only as good as the assumptions you put in. They are not a forecast from Klintro.

Questions about this calculator

How do I tell whether clinic software is worth the cost?

Start with break-even: how many recovered appointments, saved front-desk hours or captured invoices would cover the monthly cost. Then decide honestly whether that is likely in your clinic. This worksheet shows both steps.

Why does it not tell me how much I will save?

Because we do not know your clinic. Results depend on your patients, your staff and how you use the software, so every improvement figure on this page is an assumption you enter. We do not claim a percentage or a number of hours.

What should I enter as the software cost?

Any monthly figure you have in mind or have been quoted. Klintro has a Free plan, and paid plans are quoted on request, so there is no price on this page for the worksheet to use.

Is saved front-desk time real money?

Only if you use the time for something that earns or if you reduce hours. The worksheet values saved time at the hourly cost you enter, so treat that line as optional.

Do you store the numbers I enter?

No. What you type stays in your browser and is not sent to Klintro. The "Copy link" button puts your numbers in the web address so you can come back to them or share them, so share that link only with people you want to see your figures. We use no cookies and no analytics on this page.
